Job Description ##
As a secretary, you will assist one or more healthcare executives, notably chief physicians or clinical heads or assistant physicians, for the management and administrative organization of their activities in clinical, academic, and research fields, ensuring the interface between the different professional sectors. You are also the contact person for exchanges with the University.
You organize appointments, meetings, and seminars by managing the electronic agenda of these healthcare executives. You anticipate and prepare files, write meeting minutes, and coordinate the follow-up of decisions made.
While responding to various parallel requests, you successfully and autonomously carry out administrative activities related to your function such as the management of doctors' schedules (VRH), the administrative management of private or faculty funds, the organization of congresses and colloquia for the medical staff, administrative support for the service executives' projects, or the monitoring of the budget allocated to the service and research.
Depending on the activity, you prepare patient files and, after consultations, you autonomously ensure the follow-up of consultations. If necessary, you schedule complementary medical examinations. Thanks to your interpersonal skills, you welcome, inform, and guide patients presenting to the unit and manage incoming telephone calls.
Your role involves rigorous priority management, organization allowing for anticipation, and an ability to respond effectively to varied requests. You demonstrate proactivity in performing logistical tasks arising from secretariat life such as orders, requests for engagement, reimbursement, or training.
In a perfect spirit of teamwork and collaboration, you work in coordination with the service secretariat as well as with the head physician of the service and you replace them as necessary to ensure continuity of service.
Qualifications ##
You hold a CFC completed by higher administrative training such as a Federal Diploma of Direct Assistance. You have successful experience of 3 years in a role supporting governing bodies, management, or executives in a similar position. Experience in a medical or public health environment is an asset.
You have perfect mastery of French, both spoken and written, and a proven writing ability. Medical terminology is easily understandable to you. Proficiency in a foreign language is a real asset.
You have very good knowledge of IT tools (ECDL standard/advanced level in Word, Excel, Powerpoint, Outlook and/or Web). Knowledge of software currently in use at HUG (DPA, DPI, OPALE, GRECO, Winscribe, and Requête Labo) is an asset.
We are looking for an organized, proactive, rigorous, autonomous person who can manage stress, capable of evolving in a demanding and specialized environment. Your sense of service, your discretion, and your ability to manage complex files with precision make you a key person.
