Your missions and responsibilities At the level of reception and reception: Welcome and redirect clients, visitors, partners, and IMAD employees in a courteous and professional manner Accompany visitors to their meeting place Inform and promote IMAD services Identify visitor requests and/or other services with precision and process them Ensure a quality beverage and small restaurant service for visitors to the reception area, as well as in meeting rooms Ensure telephone response and welcome customer requests Distribute calls quickly and professionally to the relevant contacts Distribute information and brochures from the Geneva health network on request Make documentation displays, magazines, and brochures available, keep them up to date, and manage stocks Manage, monitor, and promote IMAD concierge services Maintain updated distribution and monitoring lists. At the secretarial level: Ensure various administrative tasks related to the secretariat Participate in and take minutes of meetings, prepare letters Keep the classification of procedures, directives, and documents related to the proper functioning of the structure up to date Establish and monitor attendance statistics Receive, sort, and distribute incoming mail Manage and process email boxes Provide administrative support to the institution's various services at the request of the hierarchy. CFC commercial employee or equivalent education Three years of professional experience in a secretarial service, receptionist, or similar function Experience or training in the hospitality and restaurant industry is an asset Very good writing skills in French Very good knowledge of standard Microsoft Office computer tools (Windows, Word, Excel) Ability to work methodically, precisely, and with anticipation Ability to take initiatives Ability to handle multiple tasks and work in a team Ease of communication and human contact, with a sense of entrepreneurship Ability to listen, transmit information, and discern priorities Knowledge of the English language (equivalent B1) desired Very good stress management Excellent presentation.
